Credit control is a critical area in most businesses, and can frequently be a major expense if neglected, or result in a dramatic change in cash flow. An important facility in Herbst Insight is credit control, which is accessible by all personnel authorised or requested to target this area. In the customer detail area, you can automatically freeze deliveries and invoicing, if the set payment dates or authorized amounts are overdue.

The grid in the Sales Ledger lets you analyse in seconds wherein your credit risks lie. You can see what salesman has how much credit outstanding and sort money owed on the longest outstanding invoices, or by any cost centre selected. Responsibility for a group of debtors can be allocated to a specific employee for following up, and management can view the progress of the debtor chase throughout.

The customer quick-view has a separate credit control section, where you can select and get an overview of the involved credit risk and the value of the customer. The note gives you a full record of all responses to payment requests. The quick-view icon shows the sales habits and payment routines of the customer, plus the average and slowest times taken to settle invoices. The credit cost icon shows you how much the account is costing you per day, week or month in interest.

You can sort your debtors by size; filter any group and in general analyse your debtors in any manner meaningful to you. This can give you details such as who is responsible for the most long-outstanding transactions; how much money is tied up in bad or slow debts; which department is likely to fall behind in credit control etc. Standard follow-up letters of various gravitas can be sent out. These letters will be automatically formatted to address individual debtors, and will contain data specific to their account. Statements with full invoice details can be faxed, e-mailed or posted to resolve any queries.

Herbst Insight 2 employs pop-up windows which serve as reminders to show you the customer accounts which have exceeded the credit limit by days or by amount or both. The pop-up window is displayed for 10 seconds, and when it disappears, the selected customer is highlighted by red colour. (See the figure below)
