17 June 2008 Herbst Insight 2.0.58.720

This version provides powerful facilities for effective management of credit and security policies of the company and for detailed analysis of Job Costing by NL Accounts. The enhanced Report Designer makes the handling of some common operations with reports easier. Other improvements concern the Contacts module, the Tickets module and the programme interface.

The enhancements of the version are as follows:

  • New standard report "Bank Reconciliation".
  • On sending emails and SMS the progress bar is shown indicating how many emails or SMS have already been processed.
  • Department specific columns in NL Accounts Tree and NL Accounts List views.
  • New version of report designing tool is used now (Report Builder 10.8).
    Note: Reports created in Insight 2.0.58.720 can not be loaded in earlier Herbst Insight 2 versions.
  • The Sample tab is added to the Report Quick View for users to have a general idea how a report looks like. Besides the Description field is added into the Main tab. The same sample of report with description you can see in the Sample and Description split view which you can open with the help of the Quick View toolbar button.

  • Now some numbers in quick views are displayed in the format that is set by default in the Regional and Language Options of users' operating system, for example, 100 000,00 instead of 100000,00. You can manage this feature in Settings -> Security -> Users ->User window -> Options tab by selecting or clearing the Use Thousand Separator check box.
  • Facility to attach files to emails.
  • The Quick Edit utilities (except Set Items User Fields) used for changing properties of document items affect only the items selected in a document item view but not all the items of the document.
  • The names of some Standard Reports became more descriptive.
  • The Include Subgroups check box is selected by default in the Select Report window that is called by pressing the Reports button on the toolbar.
  • The RCTDC Number field of all Bank Issue documents can contain up to 8 digits.
  • Facility to specify which date (Post Date or Due Date) is to be used for Credit Days Validation and in Credit Popup window in Settings -> General -> Company Information -> Others tab.
  • In ticket documents the fields Boxes In/Out are moved from the Main tab to the Details tab.
  • The Job Item Code and Name columns are added to the item lists in Job Input Transfer and purchase document windows.
  • The Explorer in Object Quick Views can hide automatically.
  • Celerity Invoice Export Wizard: now the Customers page appears before the Date page.
  • The Shift Fiscal Year utility is eliminated in the Server Manager. Now the fiscal year start month can be changed via the Fiscal Year Structure dialogue box (Settings -> General -> Fiscal Year Structure).
  • New document converter "To Ticket Haulage Sales Invoice (Site Pricing)".
  • Now it's allowed to have up to 2000 Traders in Herbst Insight 2 Light version.
  • Facility to set Default Contact Category on the user level (Settings -> Security -> User window -> Options tab).
  • When you lock the company by pressing F12, company name and user name are displayed in the logon window caption.
  • It's allowed to switch between "12 Monthly Periods" and "12 Flexible Periods" fiscal year structures even if a fiscal year is already created.
  • New items Ticket Out (Hire), Ticket Out (Note), Ticket In (Hire) and Ticket In (Note) are added to the Actions toolbar button in Product and Trader views, the New button in Ticket views and the Actions category of the Main menu.
  • On attempt to enter negative quantity in Product Converter Source and Destination items, the error message is shown.
  • The caption of the Select Report window shows the object kind a report is to be selected for.
  • Since now the Filter tool is permanently available in the Customise Columns dialogue window.
  • The Delete button is removed from the toolbar in all object views.
  • Now the Report Designer window is modeless, which means that several windows can be opened simultaneously and there's no need to close them to switch to any other windows.
  • The Department filter in NL Extracts.
  • Firebird 2.0.4 is included into the installation package.
  • Facility to force Cost Receipt Docket reference in the Trader window.
  • Facility to load a logo of your company (Settings -> General -> Company Information -> Logo tab) to make it available in the Report Designer for using in reports.
  • Possibility to specify the behaviour of the Document Security Log Comments window: Don't ask for comment; Ask for comment (comment is optional); Ask for comment (comment is mandatory). The option is available in Settings -> General -> Company Information -> Others tab.
  • Option to switch off automatic Cheque Number generation for Issue Cheques (can be specified in the Bank Account window).
  • Facility to specify individual Sales and Cost of Sales NL Accounts for each cost code in the job group or/and job records.

Major update brings a lot of improvements including multi-department, trader multi-site, multiple units of measurement, redesigned Report Desktop, and even more.

The latest improvements include:

  • Report Desktop redesign.
    Explorer-style list of reports was replaced by Insight views with all their standard facilities, including sorting, customising columns, saving layouts, Quick Filter usage, filtering Active and Inactive reports.
    Every report and report group have a code.
    Now all reports are divided into Standard and Custom.
    Standard reports are supplied with the system and are updated automatically with every new version. Layouts of such reports cannot be changed by users. The code of Standard reports begins with "$" sign.
    Custom reports are created by users on their own and can be modified according to their needs.
  • Report names can contain up to 100 symbols now (instead of 50 in previous versions).
  • New standard report "Reports/Nominal Ledger/Profit & Loss (5 Years)".
  • Separate base and purchase units of measurement for a product (Insight multiunit licence is required).
    Purchase UOM is used in purchase pricing and transactions. Base UOM is used for all other purposes including stock, costing, sales, job costing.
  • The Insight Interchange Import utility checks whether a document has already been imported. If yes, two options are available: skip or overwrite the document.
  • Fiscal years and periods can start now not only on the first day of month, but up to six days earlier or later than this date (for every year or period individually).
  • The Verify (High Level) utility in the Server Manager can check consistency of Product Converter.
  • The Select Trace Field tool was replaced by the Select Trace Field and Location tool in documents.
  • Multiple sites within a trader are introduced (Insight Trader Site licence is required).
    They can be used as delivery addresses in all sale, purchase and ticket documents. Special site sale and purchase prices can be set up. Multi-department analysis (Insight multi-department licence is required).
    Every document can be marked as related to a specific department. Default department on the user and manager levels is supported. Nominal Ledger figures can be shown for any required department individually.
  • New columns Outst Sale Ordered Qty, Free Stock Qty, Hired Qty in the following views: Product Locations, Product Trace Totals, Product Trace and Location Totals.
  • The Document Fence Dates window is split into Master Fences and Document Kind Fences.
  • The facility to clear Security Log is no longer available.
  • Both cost-receiving and non-cost-receiving items are allowed within the same Purchase Invoice and Purchase Invoice Credit Note.
  • Version information is shown in a different way in the About window.
    The lines "File Version: 2.0.XX.XXX" and "Product Version: 2.0.XX" are merged into "Version: 2.0.XX.XXX".
  • Now setup files are stored in "Program Files\Herbst Software\Installation Information\%ProductName%\%Version%" folders.
    This will prevent "The installation source for this product is not available...." error message during software uninstallation
    on some systems.
  • Quick Edit utilities allowing to set sale/purchase base/foreign prices now work for quantity-based prices.
  • New Print mode button in the POS module allows to choose between standard and direct printing.
  • Now object pickers work like quick filter.
    For example, to choose a trader in a trader picker, just type several letters of name or code in the field and press Enter. If there's only one trader with such combination of letters, this trader will be assigned to the field. Otherwise, you'll be shown a list of all traders whose names or codes contain this combination of letters.
  • New fields Reference and Notes in sale/purchase document item.
  • Default Sales Invoice print form was modified to show delivery dates from related Delivery Dockets (if any).
  • Excel export/import for NL Account budgets.
  • The Hire Module sections in the Trader and Product Quick View windows use trader sites now instead of interpreting consignees as sites.
  • The Debtor/Creditor Auto-allocation tools now show comprehensible warnings to prevent massive incorrect automatic allocations.
  • Receive Cash Transactions can be included in Lodgements.
  • New Quick Edit utilities for changing Contact details.
  • New columns Product Code and Product Name are available in the items views in sale/purchase document windows.
  • Facility to convert Ticket In for Purchase into Cost Receipt Docket, Ticket Out for Purchase into Cost Receipt Docket Return Note.
  • The Close button is added to the Analyse tool window.
  • New printing forms "Document Forms/Bank and Cash/Issue Bank Document With Remittance Advice" and "Document Forms/Bank and Cash/Issue Bank Document With Remittance Advice Grouped."
  • Contact and address fields in job record (the Details tab of the Job window).
  • The Job Name column is available in the items views of relevant sale, purchase and job document windows.
  • Address fields were moved to new tab "Addresses" in the sale/purchase and ticket document window.
  • The commands Contact, Send SMS, Send Email, Maps & Directions can be accessed through the Actions button on the toolbar in the Jobs views and through the Tools button in the Job Quick View.
  • The Skip button appeared in "Select Items for VAT Claim", "Select Items for Lodgement" windows.
  • Job details columns are available in relevant views.
  •  "Set View As Default" check box is available in "Save Current View As..." dialogue window.
  • On creation of a Contact through the Actions button in the Jobs views, the Customer specified in the Job window is assigned.
  • Quick Filter is added to the Select Object dialogue windows.
  • "Default Date Period" specified on the user level is applied not only in views, but in Quick Views too.
  • Glanbia branch code is imported into the Consignee field by the Glanbia Celerity Purchase Order Import utility.
  • Celerity Invoice Export Wizard.
    This wizard allows to export sales invoices and sales invoice credit notes into Celerity Invoice CSV file.
  • Explorer width in object windows is saved in and restored from the Windows Registry.

Exceptional usability is guaranteed by extensive interface improvements. It will certainly contribute to more efficient work and will considerably save your time and efforts.

The full list of enhancements is as follows:

  • SSL/TLS support for outgoing emails. Contacts and reports can be sent via secure SMTP connection.
    Security settings can be changed in menu Settings -> Email Options.For example, you can use your GMail account with following settings.
    Select "Direct Transport".
    SMTP server: smtp.gmail.com.
    Port: 465 or 587.
    Connection: Secure to regular port (STARTTLS).
    From: your email address.
    Select "Authentication".
    User: your Gmail username (including @gmail.com).
    Password: your Gmail password.
  • Aged Analysis Calculation Kind field is moved from Settings -> General -> Report Defaults to Settings -> General -> Company Information - Others tab.
  • The names of buttons in the BOM window are changed from Add Items to Add Products and from Add to Add Product.
  • In the Location Internal Transfer window Add Products button is added and Add button is renamed into Add Product.
  • The Product Quick Entry window (CTRL + Q) is available in the BOM window, the Product Kit window and the Location Internal Transfer window.
  • Trader Details columns are available on Actual Movement Transactions page of Locations tab in Product Quick View.
  • The changes made to Herbst Insight 2 light version:
    • Report mode in views is unavailable;
    • Job Costing licence can no longer be added;
    • The number of documents is not limited;
    • It is allowed to create up to 999999 Contacts and Bank Statements;
    • Periodical Transactions are no longer available.
  • New field Default Job Charge Type in the Job Group window.
    Now the Job Charge Type specified in the Job Group window will be assigned to all new jobs belonging to the group.
  • Product Converters view can now be split to show Source and Destination items.
  • The Report Send Mail wizard now requires fewer steps to take for sending reports.
  • Now you can specify default product roles on the product group level.
    New set of check boxes signifying default product roles are available in the Product Group window.
  • Toolbar checkbox "Current Job Only" in the "Not completed purchase transactions and tickets" window shows only documents related to the job if it is selected.

Now we have a complete solution for 'Goods received, not invoiced' (Accruals), dramatically flexible and still easy to use, allowing you to choose at which stage stock value will increase depending on your company needs.
Another new effective tool called Product Converter is intended to raise efficiency of manufacturing (and not only) companies in handling processes specific for this business, notably, processing raw materials into final products.
Other features worth special mentioning are improvements in Tracing Fields and Job Costing module.

All features of the new version include:

  • New documents Cost Receipt Docket, Cost Receipt Docket Return Note (additional licence is required).
    These documents were added to handle the situation when goods are received but Purchase Invoice has not yet arrived. Thus, goods are entered into the system, influencing stock value (as opposed to Receipt Docket that influences only Actual Stock Quantity).
  • New document Product Converter.
    Product Converter transforms one set of products to another product or set of products. This feature can be used in BOM Assembly, manufacturing, etc.
  • Analysis by Trace Fields and Location is added to Product Quick View.
  • Trace field optimization.
  • Product Kits can be assigned to buttons in POS.
  • Purchase Payments and Sale Payments tabs in Job Quick View.
  • Stock Adjustment is split into two documents: Stock Quantity Adjustment and Stock Revaluation.
  • New views in Job Costing module: Input Transaction Items and Output Transaction Items.
  • Retail Mode is supported in Tickets for Sale.
  • Sales can be analysed By Customer in Product Quick View and By Product in Customer Quick View.

  • Support for Medical Insurance Benefit In Kind in the P35L report.
    Before generating P35L you are to specify which BIKs represent Medical Insurance paid by employer on behalf of the employee (Settings -> Payroll -> Benefits).
    In addition, there is a new field "Medical Insurance BIK" in the Midyear section of the Employee record, where you can enter the total figure from timesheets which are not in HRM database.
    Note: Where an employer pays medical insurance on behalf of the employee and the employee reimburses part of the cost to the employer, the notional pay figure for BIK purposes is the total cost to the employer minus the amount made good by the employee.
  • The Timesheet Hours Export/Import utility now has Wizard interface.

The enhancements of the version are as follows:

  • Support for Firebird 2 and higher that allows to shutdown databases located on your PC before making backup and restart them afterwards.
    On shutting down a database all user connections to the database close and new connections are rejected until the database restarts.
  • Firebird databases verification.
  • User notification about databases verification.
  • Facility to run a programme before/after a backup task.
    Choose a programme/script that you want to run before or/and after backing up. Note that the backup will start only after the programme has finished.

  • User name and password are no longer required to run Server Manager utilities. Windows user privileges are taken into consideration instead.
  • Server Manager: Facility to shut down and restart databases.
    On shutting down a database (Server Manager -> Utilities -> Shutdown) all user connections to the database close and new connections are rejected until the database restarts (Server Manager -> Utilities -> Restart).
  • Server Manager: records about successful actions are added to log files.
  • Server Manager: log files are kept on server instead of client computers.
  • Server Manager: a service pack can be applied to several databases at once.
  • The Reminder, Notes and Popup Notes fields are editable even if document fence is set.

    This field is added to the Notes tab of Quick Views for all objects. These notes pop up when you highlight an object in views or type their codes in proper fields of documents.
  • The Save button in the Contact window has two new options: Save and Print, Save and Preview.
  • "Update prices" check box in Periodical Document rule for sale and purchase documents.
    This makes the system take up-to-date prices on creation of a periodic document. Otherwise, prices from the original document are used.
  • Quick way to check that user's privileges have been set up correctly.
    While granting privileges and limiting rights of a user this facility allows to open another Herbst Insight 2 copy automatically with this user logged in to check that rights and limits for the user are set up correctly. To make use of this facility open user's Quick View, press the Tool button and choose "Apply and Test".
  • Automatic uninstalling an existing version of Herbst Insight 2 while upgrading to a newer one.
  • A set of new fields is added showing allocated and unallocated quantities and amounts in the Orders, Tickets and Receipts tabs of the Job Quick View.
  • System-wide events are registered in the Security Log.

    • Shift Fiscal Year,

  • The Set VAT Quick Edit for tickets.
